AP 8/15/2003 The Academic Program (AP) file submission header record should now reflect both the year and the term instead of having the term as "NA." Institutions that are submitting records for the first time for programs that existed prior to SM of 2002 should create their header record to reflect SM of 2002. Records should be submitted whenever a program goes on-line or off-line. No changes were made to the collected data elements/fields within the AP file.
AP 9/4/2002 Expanded length of record to accommodate "Year of Inactivity" and "Term of Inactivity" fields (a total of 8 columns). Included instructions concerning the invalid nature of second degree level codes for this file. Added explanation under  "Definitions and Descriptions of Data Fields" regarding the "Year of Inactivity" and "Term of Inactivity" fields.
AP 2/26/2002 Expanded length of Program Code column to 15 characters. Included instructions for programs not culminating in a degree or certificate.

CB 2/5/1999 Removed references to Indirect Costs Recovered and Refunds to Grantors from definition of Non-Mandatory Transfers. Both items should be reported as expenditures in order to be consistent with institutions' audited Statement of Changes in Funds Balances.

Report an identifier in the Area Identifier field that distinguishes this classroom or lab from other classrooms and labs that are reported with the LEASEDCLASS or LEASEDLAB Structure Identifier.
CS 4/21/1998 File description changed to include course sections that occur in leased classrooms and laboratories. To reflect courses that occur in leased classrooms or labs,  report LEASEDCLASS or LEASEDLAB in the Area Identifier field.
CS 3/13/1998 For all time fields, 12:00 a.m. (or midnight) is represented as 0000 and indicates the start of a new day; therefore, 12:00 a.m. should be represented as 0000. Do not use 2400 to represent 12:00 a.m. If a course section spans two days (i.e., begins late one evening and ends early the next morning), two days should be reported for the course section with 0000 being used as the End Time of the first day and as the Begin Time of the second day. For example, if a course section begins on Monday night at 11:00 p.m. and ends on Tuesday morning at 1:00 a.m., Monday Begin Time would be reported as 2300, Monday End time would be reported as 0000, Tuesday begin time would be reported as 0000, and Tuesday end time would be reported as 0100. 
CS 2/18/1998 Irregular hours fields redefined into four categories: Daytime Irregular Weekday Hours reflects activity between 8:00 a.m. and 3:59 p.m., Evening Irregular Weekday Hours reflects activity between 4:00 p.m. and 11:59 p.m., Nighttime Irregular Weekday Hours reflects activity between 12:00 a.m. and 7:59 a.m., and Weekend Irregular Hours reflects activity between 12:00 a.m. Saturday and 11:59 p.m. Sunday.
CT 1/2/2004 The IPEDS Status Codes reported by institutions were revised to reflect the attainment of either an associate's or bachelor's degree within the specified time periods. IPEDS Status Codes 02, 03, 04, etc. were changed to 2A, 2B, 3A, 3B, etc. 
CT 5/7/2001 Added IPEDS Status Codes "30" for students who earned 30 hours toward the associate's degree at this institution.
CT 2/6/2001 Added IPEDS Status Codes for students still enrolled but seeking a 3- or 5-year degree. Added IPEDS Reported Cohort Type for certificate seekers. Clarified that student athletes refer only to those receiving athletic aid.

HG 5/4/2001 Added clarification that students who were concurrently enrolled in high and college prior to Autumn of 1990 should have their year and term of first enrollment revised to the first year and term that they were enrolled at the same institution following their high school graduation through the Revised First Enrollment (RF) file.
HG 4/30/2001 Broadened scope of file to include all first year students meeting the following criteria; first-time enrolled in college, undergraduate admission area, year and term of first enrollment falling within the previous fiscal year, and rank of freshman or non-degree seeking undergraduate student for at least one term during the fiscal year.
IC 4/21/2003 Several updates made on March 17, 2003 were removed from the IC Data Submission Document. These changes pertained to the inclusion of public and private financial aid data reporters among those who could submit IC files and the existence of e-mail notification when student identifiers were changes. Please note that these changes are no longer in effect. Changes that will remain in effect are as follows: Links were added pointing to the HEI People page which will allow reporters from private institutions  to identify their HEI  Liaison or Financial Aid Liaison. The first three digits of a federally assigned social security number have a ceiling of 775.  The Social Security Administration currently restricts its issuance of social security numbers within this ceiling. The "Capture Date" section of the IC File Data Submission Document has been removed. The IC file is now an annual submission with a window that is open year round. The Header record of submitted IC files should now contain "NA" as the term of submission. Pending further review, only enrollment data area reporters will be able to submit IC file changes, with the exception of those who submit the Independent, Proprietary, and Non-Ohio Colleges and Universities Degree/Certificate Earned (PD) file and the Independent, Proprietary, and Non-Ohio Colleges and Universities Student Entrance (PE) file.  With proper authorization, PE and PD data reporters will still be able to submit IC file submissions.
IC 3/17/2003 Items in red have been removed from the March 17, 2003 changes. Financial Aid reporters at public institutions must coordinate identifier changes with their HEI Liaison. Private institutions reporting the Student Entrance (PE) file and the Student Degree/Certificate (PD) file may delegate permissions to the IC file via their HEI Financial Aid Liaison. Links were added pointing to the HEI People page which will allow reporters from  institutions  to identify their HEI  Liaison or Financial Aid Liaison. Upon the submission of a changed student identifier, an automatic e-mail will be sent to all parties at an institution who submit records with student identifiers. PE 3/23/2005 We modified the Submission Schedule with the following: PE information submitted by independent institutions should be submitted by November 15th. In cases where the PE file is used for the reporting of students that will receive the Workforce Development grant, the PE file may be submitted at any time throughout the year.
PE 7/25/2002  Add instruction to set County of Residence code to UK if the State of Residency field is OH but the County of Residency is unknown.

PS 3/13/1998 File contains one record for all physical structures owned by the institution, all physical structures of which a major part (50% or more) is leased by the institution, and all physical structures of which a minor part (less than 50%) is leased by the institution and for which the institution is responsible for maintenance and has authority to make structural changes. Physical Structures which are owned by the institution exclusively for real estate investment purposes and not related to any programs of the institution are not to be reported. Definition of Addition Identifier expanded for clarification. It is not necessary that a primary structure be designated for reporting purposes. The Structure Identifier and Addition Identifier will be used together as a unique identifier for each structure.
PS 2/18/1998 Year of Current Rehabilitation field deleted. Physical Condition Status, Functional Condition Status, Year of Construction, Year of Acquisition, and replacement value must be reported for all owned and non-institutional structures, but is not reported for leased structures. 
PS 11/2/1997 All date fields and the Replacement Value field must be zero filled if no data is available and the structure is leased.
RC 3/15/2001 Changed threshold of freshmen and sophomore enrollments to greater than or equal to 60%.

ST 4/14/1998 Added statement to exclude from the Course Sections Taught (ST) file those course sections which are offered by the following professional-level medical funding units: MEDICINE, DENTISTRY, OSTEOPATHY, OPTOMETRY, VETERINARY MEDICINE, and CLINICAL PSYCHOLOGY. Only institutions and Medical Funding Units contained in the Medical Funding Unit verification table are to be excluded from the Course Sections Taught (ST) file. Added clarification to Institution Assigned Identifier Switch: Enter Y if the Faculty Identifier is a Faculty Generic Identifier. Changed Faculty Generic Identifiers (AGENCY, ROTC,  SHARED, VOLUNTEER, and OTHER) to all capital letters. 
SW 5/1/1998 Simplified the capture date description: the capture date is June 30.
SW 4/10/1998 Added clarification indicating that no portion of the Total Amount Paid to Student Workers from Federal Work-Study Programs is to be reported in any of the other fields. For example, if work-study students receive 75 percent of their wages from federal work-study programs and 25 percent from Instructional and General (I&G) funds, separate the amounts so that the reported wages paid through I&G funds do not contain any of the federal work-study amounts.
TA 12/6/2006 The deadline for submission of the TA file was moved to September 15, 2007. The submission should contain data for every academic term occurring in fiscal year 2007. There is new criteria determining which students should be reported in the TA file. The definition of master's and professional students was modified.
TA 1/3/2003 The deadline for submission of the TA file was moved to February 28. This submission will continue to be comprised of the prior year's Autumn Term data.
TA 8/9/2001 Tuition Award data will not be collected in Autumn 2001, but will be collected in Autumn 2002.

XR 1/7/2005 "Guidelines for reporting in-state consortial agreements with public institutions" was added to the Additional Explanations. This addition is not a change in policy, but an attempt to make the reporting guidelines clearer.
