File Description

The Student Worker (SW) file contains an aggregate record of the number of student workers employed by the campus, and the aggregate amounts spent for wages from Major Fund Groups during the year.

Submission Schedule

An annual December submission reflects activity during the previous fiscal year.

Capture Date

The capture date is June 30.

Relationship to Other File Submissions

The Student Worker (SW) file is not dependent upon the prior submission of other files.

Definitions and Descriptions of Data Fields

Campus: This four-character Regents-assigned abbreviation uniquely identifies the campus (or branch) within an institution.

Total Number of Student Workers: Enter an unduplicated count of individual student workers who worked with the campus during the previous fiscal year.

Wages Paid to Student Workers from Instructional & General (I&G): This is the aggregate amount spent on student workers during the year from I&G funds. Use whole dollars, right-justified, with zeroes filled to the left.

Wages Paid to Student Workers from Separately Budgeted Research: This is the aggregate amount spent on student workers during the year from Separately Budgeted Research funds. Use whole dollars, right-justified, with zeroes filled to the left.

Wages Paid to Student Workers from Public Service: This is the aggregate amount spent on student workers during the year from Public Service funds. Use whole dollars, right-justified, with zeroes filled to the left.

Wages Paid to Student Workers from Auxiliary: This is the aggregate amount spent on student workers during the year from Auxiliary funds. Use whole dollars, right-justified, with zeroes filled to the left.

Wages Paid to Student Workers from Hospital: This is the aggregate amount spent on student workers during the year from Hospital funds. Use whole dollars, right-justified, with zeroes filled to the left.

Total Amount Paid to Student Workers from Federal Work-Study Programs: This is the total amount spent on student worker wages during the year from federal work-study programs. No portion of the Total Amount Paid to Student Workers
from Federal Work-Study Programs is to be reported in any of the other fields. For example, if work-study students receive 75 percent of their wages from federal work-study programs and 25 percent from Instructional and General (I&G) funds, separate the amounts so that the reported wages paid through I&G funds do not contain any of the federal work-study amounts. Use whole dollars, right justified, with zeroes filled to the left.
